Privacy Policy

Effective date: January 1, 2025

We respect your privacy and are committed to protecting your personal data. This policy explains what we collect, why we collect it, and how we keep it safe.

1. Information We Collect

We collect only the information necessary to run a functioning website and respond to genuine inquiries. We collect information in the following ways:

Website analytics. When you visit idealsyntax.com, our analytics provider records anonymised data including the page viewed, the referring URL, your approximate country, device type, and browser. This data contains no personally identifiable information (PII) and is never tied to an individual profile.

Contact form submissions. If you reach out through our contact form, we receive your name, email address, and the message you choose to send. We use this solely to reply to you.

Newsletter signups. If you opt in to receive updates from IdealSyntax, we store your email address for that purpose only. We do not append additional data to newsletter records.

We do not sell, rent, or trade your personal data — ever. Your information is used exclusively for the purposes described in this policy.

2. How We Use Your Information

The information we collect serves a small, well-defined set of purposes:

  • To respond to inquiries and support requests submitted via the contact form.
  • To improve our website — understanding which pages attract interest helps us prioritise content and fix friction points.
  • To send newsletters and product updates to subscribers who have explicitly opted in. Every newsletter includes a one-click unsubscribe link.
  • To analyse aggregate, anonymous usage patterns so we can understand how the site performs across different devices and regions.

We do not use your data for automated decision-making or profiling.

3. Cookies

Cookies are small text files placed on your device by a website. We use a minimal set of cookies required to make the site work and to understand how it is used.

Essential cookies handle session state and remember your preferences (such as cookie consent). These cannot be disabled without breaking core site functionality.

Analytics cookies may be placed when analytics tools are enabled in site settings. They help us understand aggregate usage such as page views, referrers, approximate location, and device type.

We do not use third-party advertising cookies or any cookie that enables cross-site tracking of individuals.

For a complete breakdown of every cookie we set, including its name, purpose, and duration, see our Cookie Policy.

4. Third-Party Services

We use a small number of carefully selected third-party services to run the website. Each is chosen in part for its privacy posture:

Firebase / Google Cloud — Hosting, auth, and data storage

Firebase App Hosting, Authentication, Firestore, and Storage power the site and admin cockpit. See firebase.google.com/support/privacy.

Site analytics (optional) — Aggregate usage measurement

When enabled in site configuration, analytics scripts (such as Google Analytics, GTM, Meta Pixel, or Microsoft Clarity) may process usage data according to their respective privacy policies.

Transactional email provider — Contact form responses

When you submit the contact form, your name and email are stored so we can reply. This data is not used for advertising.

We do not embed social media trackers, advertising networks, or any third-party widget that reports your behaviour to platforms you have not deliberately chosen to interact with.

5. Data Retention

We keep your data for no longer than necessary for its stated purpose:

  • Contact form submissions are retained for up to 24 months so we can reference prior conversations if you return. After this period, records are deleted.
  • Analytics data is anonymous and aggregate. It has no retention limit because it cannot be used to identify you.
  • Newsletter email addresses are retained until you unsubscribe. Upon unsubscribe, your address is purged from our active lists within 7 days.

6. Your Rights

Depending on your jurisdiction, you may have the following rights with respect to your personal data. We honour these requests regardless of where you are located:

Access

Request a copy of the personal data we hold about you.

Correction

Ask us to correct inaccurate or incomplete data.

Deletion

Request that we erase your personal data from our systems.

Portability

Receive your data in a commonly used, machine-readable format.

Objection

Object to processing based on legitimate interest.

Withdrawal

Withdraw consent at any time for consent-based processing.

To exercise any of these rights, email legal@idealsyntax.com. We will respond within 30 days.

7. Data Security

We implement industry-standard technical and organisational measures to protect your data against unauthorised access, loss, or disclosure:

  • All data in transit is encrypted via TLS/HTTPS. We enforce HTTPS sitewide with HSTS headers.
  • Data at rest is encrypted on storage systems with access restricted to authorised personnel only.
  • Access to production systems is protected by multi-factor authentication and role-based access controls.
  • We conduct regular security reviews and dependency audits to identify and remediate vulnerabilities.

No system is completely immune to security incidents. In the event of a breach that materially affects your data, we will notify affected individuals as required by applicable law.

8. Contact

Questions, concerns, or requests regarding this Privacy Policy should be directed to our legal team. We aim to respond to all privacy-related correspondence within 5 business days.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.

For material changes — those that meaningfully affect how we handle your data — we will post a prominent notice on the website for at least 30 days before the change takes effect. The “Effective date” at the top of this page always reflects the date of the most recent revision. We encourage you to review this policy periodically.
